GENERAL
The policies and procedures as outlined below pertain to Internships, programs and Accommodation for all programs. This section includes general Global-Eyes policies, Academic Policies, Program Fees and Payment Policies.
Global-Eyes works with sending institutions and individuals regarding the processing of applications for Global-Eyes Programs. In nominating students, sending institutions have the responsibility to evaluate applicants' credentials carefully and to determine their suitability for the selected programs. Endorsement of an individual applicant constitutes an assurance that the student meets the minimum admission standards for the program, that the student is prepared linguistically, academically, and socially to succeed and derive benefits from the program, and that it is appropriate for the student's academic program and goals.
Selection for most programs is generally done on an application deadline basis but is sometimes done on a rolling basis. Global-Eyes endeavor to return acceptance notification within 7-days or receiving application.
Early Departure, Withdrawal, or Program Cancellation
Students are required to stay at the program location until the final date of the program as announced in the program materials. Students must complete the academic program including all examinations and submission of papers prior to departing the site if they are requesting academic credit. There are several circumstances that may force a student to leave a program early or withdraw from a program, for example, a serious accident or illness, a severe psychological problem, or a family problem. In the case of a student who, due to emergency circumstances, is forced to depart early or is unable to complete an aspect of the requirements of their program Global-Eyes will make every arrangement to contact the host institution regarding the situation (only if requiring academic credit). If interns leave their internship position for any reason a monetary refund will not be credited.
Exceptions
During the semester, any student who feels there is a justification to request an exception to any Global-Eyes policy should address the request in writing to the Director. Supervisors at work are not authorized to grant exceptions to program policies. Anyone wishing to request an exception must do so in writing stating their case and reasons for exception.
Drugs and Alcohol Violations
Penalties for drug violations in many host countries are often harsher than in the United States. Use of illegal drugs can result in expulsion from the study program, as well as possible criminal prosecution. Remember that students traveling abroad are subject to the laws of the country they are visiting – their own country's laws do not protect them. The U.S. and other governments can only seek to ensure that their citizens are not discriminated against, that is, that they receive the same treatment, as do citizens of the country in which they are arrested who are charged with the same offense.
Alcohol Policy
Students are subject to the laws of the Host Country and any policies and regulations of the host university or company.
Consumption of alcohol that causes a student to be unable to participate fully in a program activity is considered alcohol abuse. At first instance, a warning letter will be issued. If there is a second instance, the participant's home institution and/or parents will be notified, and counseling may be required. Repeated instances may result in suspension or expulsion from the program or a recommendation of reduced or no credit. Consumption of alcoholic beverages that results in loud, disruptive, or offensive behavior according to U.S. or local norms is more serious. Any infraction will result in a warning letter and notification of home school and parents. A second instance may result in immediate expulsion from the program at the discretion of the Director. Any instance of these circumstances or other circumstances of equivalent severity may result in immediate expulsion from the program at the discretion of the Director.
Dismissal from the Program
Participants are expected to comply with regulations established by Global-Eyes and the host institution/sponsor company. The Director may dismiss from the program any student who does not comply with the relevant regulations and requirements.
Academic Credit
Anyone wishing to receive credit for their time abroad must successfully complete all aspects of the program as set out by the Program Coordinator at Orientation. In most cases this will entail a successful completion of internship, attendance at all scheduled program events/speakers/visits as well as successful completion of all written assignments. Upon completion of the program, resident staff sends final grade reports along with other supporting documentation from the host institution (when available) to Global-Eyes. Global-Eyes will receive an evaluation from a participants sponsor company, and this along with written work submitted and lectures/visits/speakers attendance will culminate in a final grade for a participant. Global-Eyes is not responsible for soliciting permission to receive academic credit from Home institutions. Students must find out the requirements instituted by their home institution before confirming acceptance to Global-Eyes. Global-Eyes will supply written documentation requested to confirm successful participation in any of our programs, but only upon request.
Payment of GLOBAL-EYES Program Fees
Participants are billed after acceptance to a GLOBAL-EYES program. Participants are confirmed once GLOBAL-EYES receives the Participant Acceptance form as part of the enrollment process. In the absence of an existing arrangement with a school or where the participant does not have a sending institution, GLOBAL-EYES bills the participant directly. In this case, bills are sent in the student's name to the permanent address indicated on the application form.
Participants Billed Directly by GLOBAL-EYES
Participants billed directly by GLOBAL-EYES are responsible for maintaining their own accounts. If a parent or other designee will be managing payment of fees on behalf of the participant, it is the participant's responsibility to ensure that all invoices and other billing information is forwarded appropriately. Program fees are billed for by term (summer, fall, spring). Students participating in more than one session will receive payment procedures upon booking. Generally a supplement will be due on top of one session fee for session extensions.
Program Cancellation
GLOBAL-EYES reserves the right to cancel a GLOBAL-EYES program due to insufficient enrollment or other factors beyond its control. In case of program cancellation, participants are provided with alternative program options or are given the option to defer participation to another term. Alternative options are subject to the approval of the student's sending institution. If the student does not opt for an alternative program or a deferral, GLOBAL-EYES refunds the $50 application fee, any applicable School of Record fees and all additional fees paid.
Notes:
1. In the case of a refund, the refund is automatically sent to the billed party except in some circumstances involving financial aid. (If GLOBAL-EYES bills the institution, the refund is sent to the institution; if GLOBAL-EYES bills the participant, the refund is sent to the participant at the permanent address listed on the initial application, unless the participant notifies GLOBAL-EYES otherwise.)
2. Cancellations are effective only upon the date written notification is received by GLOBAL-EYES. Students must also notify their sending institution (or School of Record) directly if they plan to cancel or withdraw. Questions regarding sending institution policies should be directed to the sending institution, not to GLOBAL-EYES. Sending institutions' payment policies are separate from GLOBAL-EYES's payment policies, and students will be held to both sets of policies.
Global-Eyes reserve the right, before you book, to vary the services described in our brochures and web site, including prices and departure dates and times and characteristics and categories of transportation. You will be notified of these changes before you are committed to the tour. We also reserve the right to make changes to your accommodation or any other details, which may occur for reasons beyond our control and we will notify you as soon as possible.
You are responsible for ensuring that all necessary travel documents are valid and effective. You will need a current passport for travel outside of the US. You are responsible for obtaining the correct and valid visas where necessary. Should you not acquire the appropriate travel documentation prior to your trip and otherwise be detained or not allowed to enter the country of your destination Global-Eyes can not be held responsible. You will then come under the cancellation fee schedule for your chosen program.
GLOBAL-EYES reserves the right to dismiss from any programs any participant whose mental or physical health requires or is limited to, consistent inability or unwillingness to interact productively or amicably. We also reserve the right to dismiss participants who are found to have misrepresented him/herself or provided false information on any program application. Participants dismissed form the programs are responsible for all expenses of repatriation. Refunds are not made to participants whose programs are terminated prematurely for any reason unless the situation requires emergency medical attention or any other situation beyond the control of the participant.
GLOBAL-EYES will advise participants to buy travel insurance if Travel Insurance is not already included in the program fee. A waiver will be signed by all participants stating that they either have already purchased travel insurance, whereby written proof will be necessary, or that they do not intend to purchase travel insurance and will not hold GLOBAL-EYES or any participating coordination agents (CCI, European Encounters, Hallam Anderson, Britannia Travel Services etc.) responsible for any personal injury, personal liability, or any other situations that may occur while abroad during a GLOBAL-EYES sponsored program. The program or the accommodation/host family cannot be liable for any costs resulting from participant's illness, personal liability, or other risks.
All payment is due to GLOBAL-EYES upon confirmation of your placement in the program. Once you have confirmed your position on any of our programs you will fall under the cancellation schedule fee from that day. In terms of accommodation, once you make your application for Global-Eyes accommodation you will fall under that cancellation fee schedule. As all accommodation is not owned by Global-Eyes we must make some guarantee to our accommodation agents. Once you request accommodation, this constitutes a booking. If you wish to inquire about accommodation do so separately and do not do so through a booking form.
Payment by credit card, check or money order must be received by our office upon booking for the full amount owed. Bookings will not be finalized until payment has been received.
As with all travel insurance policies, when you apply through GLOBAL-EYES, you must declare any information, medical or otherwise, which may influence the Insurer's opinion in accepting you for cover. Participants in good health only are accepted. If you have a disclosure to make please do so at the time of purchase. Please be sure to read your entire policy and do so carefully. Here you will see the terms of cancellation, conditions and exclusions. Falsification of a medical condition will result in repatriation at the participant's expense. This plan does not cover pre-existing conditions and/or accidents that occur outside the terms of insurance.
ACCOMMODATION
Once we receive your Accommodation Booking form we will contact you and complete the application process and book the service requested. Full payment must be made before a booking can be made final. In some cases we source out to other accommodation agencies. You will then be under the payment, confirmation and cancellation policy set out by that organization. In all cases where this is necessary you will be notified ahead of time. A Booking Form is taken as confirmation of booking.
Once we receive your request for accommodation you must confirm with payment within the week. Please do not make accommodation bookings until you are certain this is the option you would like to choose. Should you change your mind after the booking form has been received you will be liable to the cancellation fee schedule.
